Privacy Policy

1. Introduction
Respect for your privacy is of central importance to us. Any data that you provide are handled carefully and responsibly and in full compliance with the Swiss data protection law. In this Privacy Policy Statement you will find some information how we handle personal data as well as any research documents which are submitted to us. As a Member of Swiss Foundations we adhere in all aspects of the daily business as well as data protection and privacy policy etc. with the Swiss Foundation Code.

2. Scope
This Privacy Policy applies to all documents, which you submit to us by e-mail or also surface postal mailing.

3. Definition of “personal data” and the term “processing”?
T “Personal data” means any information that can be associated with a specific natural person. This may include the following information:

  • Contact information, such as: first name(s), surname, postal address, email address or telephone number;
  • Personal details, such as: gender, date of birth and age, marital status or nationality.
  • In the setting of our activities as a research foundation all documents (grants, protocols, questionnaires for your research, list and information about your co-investigators etc.) “Processing” means any handling of your personal data / documents upon submission to us. This includes, for example, the following actions:
  • Collection and storage;
  • Adaptation and modification (no modifications will be made – a MS Word Document might be stored as PDF);
  • Use and exploitation;
  • Matching with other data;
  • Deletion and destruction.

  • 4. Who is in charge for processing your personal data?
    Your personal data and documents as defined above will be handled only internally at the offices of the Foundation: place de la Gare 4, 1001 Lausanne (Postal address: PO Box 581). All employees in the offices of the Foundation as well all Council Members will follow this privacy policy. If you applied successfully for a grant, you will receive the financial support in different installments during the course of the study. As a registered trusted organization we are audited by an auditor and we have to send a report / listing with the approved projects to the Swiss Foundation Surveillance of the Swiss Department of Interior, Berne. The Foundation Surveillance as well as an external data controller (Ernst and Young, Lausanne) has to follow the national data protection legislation. With regard to data processing by these external organizations and national authority, you should consult their privacy policy. Whenever needed, we will have the assistance of a professional data protection expert.

    5. Purpose of the data processing
    As a research foundation we will receive from you upon invitation a full research grant application. This application will be reviewed internally by the different Council Members, which will adhere to our Privacy policy and legal requirements. All submitted grants would be stored independently whether the grant was accepted or not. The original grants are not accessible to any third party and will be handled according the legislation as shortly outlined in this document. In case of acceptance the name, your affiliation(s) as well as the affiliation(s) of any collaborators as well as the abstract of your research grant will be published on our printed and online annual report. A listing of non-accepted grants will not be published, but the names will be mentioned in the minutes of the Council Meeting. These minutes will not be given to any third party. A summary of the minutes with the decision of approved grants has to be given to the Swiss Foundation Surveillance and the external auditor (see above). Your contact information (surface mailing address and e-mail) will be stored in our mailing list for the annual report. This mailing list will only be used for the shipment (postal or digital) of the annual report. This information will not be provided to any third party. Besides the above outlined procedures of data processing we perform no other personal data processing.

    6. What happens if you do not want to disclose your personal data to us?
    If you do not wish to disclose your personal data to us, you can obviously not apply to the Foundation for a research grant. We do not support anonymous organizations or individuals. We do not operate any social media networks and are also not associated with other information network – neither locally nor internationally. Accordingly there is no risk from this side.

    7. Duration of storage
    Your data will only be kept until you ask to delete them. If a grant is approved the original grant, all e-mail correspondence and details of financial transactions need to be stored for legal reasons for at leas10 years. For historical reasons the grants are kept in our archives, which are not publicly accessible and also not accessible to third parties but only for internal use. In the data bank for the mailing of the annual report the mailing will be canceled in case of death or also if you wish not to receive the annual report.

    8. Cookies and similar technologies
    Our website does not use cookies to make your visit more attractive and to permit the use of certain functions. Cookies are small text files that are stored on your digital device – besides others also to enable access to our website by your browser (these are the strictly necessary cookies so that you can access and get a operational website on your screen). You can delete the browser history after linking to our website. In any case we do not collect any information of the individuals who visit our website. Since we do not use cookies (no performance cookies, no functional cookies etc.) you will also not being asked for acceptance or rejection of such cookies. No hidden cookies are used. We are independently operating from The Founding Company and thus there are no advertising and no targeting cookies. We are not a commercial organization and are not interested in any business related activities. To protect your privacy we so not use any third party cookies such as Google Analytics, Double Click, Flood Light, Google Tag manager, or Google AdWords Conversion or cookies from any other third party.

    9. Your personal rights
    Under the current data protection law, you have the especially the following rights: Right to Information / Right to Correction / Right to deletion / Right to data portability / Right of revocation. For details we refer to the above link.

    10. Data security
    Data security is of highest priority for the Nestlé Foundation (NF). In agreement with the applicable data protection legislation we uses appropriate technical and organizational security measures for data processing in order to protect your data against accidental or willful changes or manipulation, partial or complete loss, destruction or against unauthorized access / availability by any third parties. Our administration’s security measures correspond to the current state of the art.

    11. You will be informed about updates or changes to this Privacy Policy
    Whenever needed or requested by new legal requirements we reserve the right to update and adapt this Privacy Policy. As part of our procedures you will be informed about any changes in a timely manner.

    This Privacy Policy is only available in this English Version. In the event of any contradictions between, the original text of the Swiss Data Protection Law takes precedence.
